報表系統的維護與備援探討─以Ａ公司為例

Abstract

隨著網路應用的普及與大量資訊快速傳遞的年代裡，以電腦化取代了人工作業，不僅提高了工作效率與品質，更為企業組織流程再造帶來新的契機。然而金融業帳務的對帳，除了電腦備份外，往往仍需要以報表列印，作人工稽核對帳，以確保資料的正確。 本研究以金融產業A公司為例，過去由於各系統產生的報表僅存在最新的三筆記錄而無法保存歷史資料，因此產生了報表系統讓營業單位進行列印保存作業，以致於須騰出一間儲藏室來存放報表，然而報表批次於某一時點統一下傳至各單位時，除了影響內部網路頻寬外，若分部單位的主機開機異常也會影響檔案接收，需進行例外處理，又浪費許多時間與資源。新一代系統將報表經壓縮轉為影像檔後存入資料庫中，使用者透過Internet來查詢或列印所屬報表，除了解決既有問題外，還能夠在短時間內即時下傳報表給所需的單位。 隨著時空與環境的改變，部份的商業原則或作業流程並不適用在當下，須進行其維護才能提昇使用者的工作效率。此外，在電子商務急速的發展趨勢中，使得企業曝露在高風險與複雜的環境下，能在短時間內降低各種意外災害所發生的損失，並順利恢復持續營運狀態，因此，資訊安全議題相形之下就顯得格外重要。 本論文的方向主要是探討系統的維護與備援的研究，在適用於金融產業的資訊安全認證ISO27001中將「系統開發與維護」列入認證檢核的範圍內，促使系統運作順暢。但是從資安的角度來說對系統僅做到維護管理還是不足的，因此，應將系統維持在「營運持續管理」並遵循與落實相關法規與義務才算完整。 本研究的結果可有效解決既有的問題，使工作流程簡化及系統更貼近人性化導向的效益，並提供使用者最即時的資訊，且不斷尋找與時俱進的最適管理機制和流程。

Due to the popularity and ease of distribution of web applications, people can use increasingly sophisticated computer technology to replace the traditional approaches. With the advantages of continuous working procedure and operation, digital technologies can also provide new opportunities for the companies with process reengineering. For the information consistency of financial accounts, it not only has the operational needs to backup the data but also to print them for manual audit.

This research is to study how the improvement of Report System brings the efficiency and benefits towards enterprises. Take A company as an example, the system-generated reports only had the latest three records and no further historical data saved in the system. Thus, one room must be kept for storage purpose for the printed documentation. Consequently, it had batched downloads every time. If branch unit’s host has abnormal operation, the exceptional operation procedure is needed which costs a lots of time and resources. The new system compresses reports, transforms images and saves them into the database. Users can use Internet to query and print reports efficiently. So, it can resolve old problems, and download reports to the computer host within very short time period.

Since the technology and business environment change daily, some business processes also need the revised operations to carry out the new maintenance works to improve the efficiency for the users. In addition, the rapid development of e-commerce trends allows companies to expose to high risk and complex environment, which should be able to deal with a variety of unexpected disasters in a short time when the loss occurred, and the rapid resumption of sustained operation. Under such circumstance, information security issue is needed for particular consideration.

The objective of this paper is to study the maintenance and backup strategies for financial system. ISO27001 certification of information security directs system development and maintenance requirement through this study. From the perspective point of view for information security, the system should remain the "business continuity management" and follow the regulations and obligations associated with the implementation.

This research’s results provide the effective way to solve the existing problems. We used the streamline work-flow processes and systems which supply a human-oriented design and provides the users with the benefits of real-time information. Accordingly, our research could help companies to look for the optimum time management and process operation consistently.
